Group booking conditions
1. To make a booking, please complete our Group Confirmation Form and send it to us with the indicated deposit (see 5 below for payment options). Your agreement with us starts when we receive your signed Confirmation Form and payment of deposits for the course of your choice
2. In accordance with the Package Travel, Package Holidays and Package Tours Regulations 1992, your fees are held in a trust account controlled by Mr D Anderson of 4 Stirling Road , Edinburgh EH5 3HY , thus providing financial protection and security for your payments.
3. The balance of fees is due 60 days before departure. A full invoice detailing the balance of fees due and the date by which this sum should be paid will be sent to you in advance. If the full fees are not paid by the due date, we reserve the right to cancel your booking and retain your deposit unless a revised due date has been agreed.
4. All cheques should be made payable to Caledonia Languages Trust Account. Payments can also be made by MasterCard or VISA (2% surcharge) or SWITCH (no charge) or direct to our bank account - ask us for our bank details.
5. All course participants must have adequate travel and medical insurance before departure. Whilst every effort is made to ensure your well-being, Caledonia Languages Abroad does not accept responsibility for illness, personal loss, lack of punctuality or injury. Adequate insurance cover should be taken out to cover course and accommodation fees should the booking have to be cancelled due to personal circumstances such as illness or injury.
6. If any of the group has a disability or medical condition, you should inform Caledonia Languages Abroad at the time of your booking so that due advice can be given on the suitability of the programme.
7. If you cancel your booking, the following cancellation charges will apply:
- Up to 60 days before departure: forfeit deposit
- 59 - 43 days before departure: forfeit 35% of total course and accommodation fees
- 42 - 21 days before departure: forfeit 50% of total course and accommodation fees
- 20 - 15 days before departure: forfeit 75% of total course and accommodation fees
- In the 14 days before departure: forfeit 100% of total course and accommodation fees

8. Caledonia Languages Abroad is not responsible for alterations to schedules or travel prices for domestic or international travel arrangements.
9. Caledonia Languages Abroad makes every effort to ensure that accurate information is provided for courses, accommodation and other activities taking place overseas as booked.
10. Where group trips are subject to a minimum number of participants, Caledonia Languages Abroad reserves the right to cancel or reschedule the trip or amend the price per person if insufficient bookings have been received before deposits are due. All monies received for course and accommodation fees will be returned in full if participants do not wish to accept the amended dates in the case of rescheduling.
11. After the booking has been confirmed and the deposit paid, a charge of £50 + VAT per person will be made for each substantial change to the composition of the group or the nature of the programme.
12. Should a member of the group cancel and not be substituted by another person, the above cancellation fees will be applicable. Such cancellations must be confirmed in writing. If the cancellation of a group member or members causes the numbers to fall below a previously-stated minimum, we reserve the right to charge an additional fee to cover extra costs.
13. Should a member of the group cancel but be substituted by another person, the deposit and/or full fees may be transferable subject to the above amendment fee (see 12 above) and any other charges imposed by suppliers.
14. We reserve the right to alter the prices of courses and accommodation to accommodate fluctuations in currency exchange rates. However, no surcharges will be imposed after full fees have been paid.
15. Caledonia Languages Abroad cannot be held responsible for the consequences of any delays, expenses incurred or alterations caused by illness, weather, war, terrorism, political events, civil strife, natural disaster, technical difficulties or any event beyond our control.
16. If you have a complaint about the course or accommodation it must be received in writing and received by Caledonia Languages Abroad within 28 days of the end of the course.
